KAPILANA POLICIES

NOTE:  The below policies are those currently in force.  They supersede any policies which may appear in previously printed and distributed flyers or other marketing material. 

GENERAL.  Kapilana is a family place and we all like it that way, we hope you do too and we look forward to your cooperation in behaving appropriately. We reserve the right to refuse check-in to large groups if we feel they may impact the enjoyment of the rest of our guests. Many of our owners are permanent residents and need to be up early for work. We therefore insist on quiet after 10 PM and before 9 AM. Foul language and behavior which, in the opinion of Kapilana Resort Management is not in keeping with the Kapilana character will be grounds for eviction without refund for unused portions of the reservation. If your intention is for late, loud partying, we respectfully request that you seek alternative accommodations. 

RULES AND GUIDELINES On check in, you will be required to sign an acknowledgement that you have read and will comply with the following guidelines:

NO SMOKING INSIDE ANY ACCOMMODATION.

  • Quiet hours are observed from 10 p.m. to 9 a.m.  Outside of these times, we ask that noise be kept to a level that will not disturb other residents or guests. Pool hours are 9 AM to 9 PM.
  • Foul language and behavior which, in the opinion of Kapilana Resort Management is not in keeping with the Kapilana character will be grounds for immediate eviction without refund
  • Fire regulations prohibit the use of barbecues on decks or balconies.
  • Don’t hang towels or clothing from decks, balconies or on the pool fence.
  • Adults must accompany children under 14 (be inside the pool enclosure) at the pool.
  • All boats and/or boat trailers should be parked in the upper lot near the entrance to the complex for the duration of your stay.  Parking is on a first-come, first-served basis.  If the lot is full you will need to keep your trailer at the state park until space opens up.
  • Each unit is allocated 2 parking spaces, including trailer parking. If you exceed this, your boat trailer should be left at the State Park.
  • Always observe the no-wake areas surrounding the docks (includes personal watercraft).
  • Personal watercraft are not allowed in the swim area at any time.
  • Always use the boat slip that was assigned to you at check-in.
  • Don’t use our towels for reasons other than intended.  If you need towels to clean your boat, we have a “rag bag” at the office that you are welcome to utilize.
  • Towels from the Poolside and Beach House units can be exchanged between 9 and 11 AM. We ask that you use your towels as long as possible to save energy and reduce the amount of detergent in the environment. Condos are equipped with washers and dryers.
  • Ladies, makeup does NOT come out of the towels.  You will be charged for any towels that have to be thrown away.   If anyone knows how to remove it, however, please tell us!
  • Please don’t sleep on the decorative bedding; ask if you need additional pillows.
  • Accidents can happen. Please let us know about any damage, spillage, breakage etc.  We can take care of it easier that way rather than “discovering it” after you leave. 
  • You may be financially liable for any loss or damages that occur in the unit. Costs incurred to repair or replace items will be charged to the credit card on file.
  • Trash should be taken to the dumpsters located at the entrance to the condo complex or in the building 1 and 2 parking lot. A charge will be applied if we have to take it either during or after your stay.
  • Check out time is 10:00 a.m.  Inquire at the office if a later check-out time is needed and we will see if we can accommodate your request. Additional charges will apply.
  • Beach Unit Residents – don’t put anything flammable or which might melt on top of your stoves.  The pilot light generates more heat than you realize.
  • Don’t flush anything such as paper towels, sanitary wipes etc. They cause backups.

 

RESERVATION POLICIES.  The following deposits are required to secure your reservation:

1-3 nights reservation - 1 night deposit

4-6 nights reservation - 2 nights deposit

7-9 nights reservation - 3 nights deposit

10+ nights reservation - 5 nights deposit

A minimum 3-night stay is required Memorial Day through Labor Day.  A minimum 2-night stay is required during the off-season.  However, we often have last-minute holes to fill so please feel free to call and check for openings of shorter duration. Exceptions may apply to Holiday and Special Event weekends. 

Reservations will be held for 7 days pending receipt of deposit in the form of personal check, travelers check, money order or cash. We do not accept credit cards for deposit unless scheduled arrival is within 45 days, in which case a credit card is the only  means of securing the reservation. We will send you confirmation of the reservation and a receipt for your deposit. You must report any discrepancies in the reservation to us immediately. Balance is due on check-in and is payable via cash, travelers check, money order or credit card only.  A  credit card will be required at check in to cover any incidental charges. Alternatively,  cash, travelers check or money order for $250 may be used as a refundable security/damage deposit. No personal checks will be accepted at check-in.   

CHECK-IN. Check-in is between 3 PM and 6 PM.  Early check-in (if available) will be charged at 50% of the nightly rate for check-in before noon and 25% of the nightly rate for check-in between noon and 3PM.  Early arrivals on the property will be charged at the same rate.  Guests arriving after 6 PM must make arrangements with Kapilana Management to pay for their stay in advance and obtain their keys. 

CHECK-OUT.  Check-out is at 10 AM.  Late check-out (if available) will be charged at 25% of the nightly rate for check-out between 10 AM and noon, and 50% of the nightly rate for check-out between noon and 3 PM.  Guests must depart the property on check-out to avoid overcrowding of our facilities.

VEHICLE AND TRAILER PARKING.  During peak season and on holiday weekends, parking space will be at a premium.  Please limit your party to two vehicles, or a single vehicle and a boat trailer.  If you MUST exceed this limitation, please contact the resort to discuss whether we can make additional space available.  We will do our best to accommodate your request but this is not guaranteed.  As an alternative, your boat trailer may need to remain parked at the State Park ramp.  This may also apply if you have an extra-long boat trailer that cannot be accommodated in the on-site trailer parking facility.  Please bring any locks, cables, etc that you require to secure your trailer as we do not have such items available.

DAMAGE AND INCIDENTAL CHARGES.   A valid credit card must be presented at check-in (irrespective of the method of payment for the room) to cover any damages or charges incurred during your stay.  Assessment of damage outside normal wear and tear is solely at the discretion of Kapilana Management. The current "Kapilana Guest Information" form signed at check in will authorize a charge of up to $250 in the event of loss or damage. There are a number of policies which we need to enforce to allow us to make our accommodations ready for the next guests in the limited time between check-out and check-in. Therefore we will impose a $25 charge for each of the following.

a. Leaving trash (including dirty ash trays) in or around the unit 

b. Leaving dirty dishes, pots, pans or not returning them to their correct location

c. Not leaving keys at the office or in the unit

Additionally, smoking in any of the units will result in significant recovery cost which will be charged accordingly. 

VISITORS.  All visitors must be registered with the Kapilana Resort office for insurance purposes.  All visitors staying in excess of two hours must pay a facilities usage fee of $10 per person, per day.  All visitors must depart the resort property by 10 PM.

CANCELLATIONS AND CHANGES.  Acceptance of a reservation is our way of ensuring that we run an efficient business in order to keep our rates affordable. We turn down many reservations because we are full and therefore lose business. It is therefore in everyone's interest that reservation commitments are met.  

  • Summer Policy:  In the event of cancellation, deposits will be refunded (less $25 processing fee) with 45 days' notice prior to scheduled arrival date.  Less than 45 days' notice will result in forfeiture of entire deposit.   Changes to arrival or departure dates may be made up to 45 days in advance of arrival at no charge.  There will be no refund or reduction in amount due for changes to arrival or departure dates made with less than 45 days notice. 

  • Off-Season Policy:  In the event of cancellation, deposits will be refunded (less $25 processing fee) with 14 days' notice prior to scheduled arrival date.  Less than 14 days' notice will result in forfeiture of entire deposit.   Changes to arrival or departure dates may be made up to 14 days in advance of arrival at no charge.  There will be no refund or reduction in amount due for changes to arrival or departure dates made with less than 45 days notice. 

Kapilana will give due consideration to deposit refund in cases of genuine hardship.  The decision to refund the deposit in this instance resides solely with Kapilana Management.
